Client Services Representative, Behavioral Health

Location: Atlantic City, NJ  |  Position Status: Full Time  |  Position Shift: Days
The client services representative provides office support for the clinical units within AtlantiCare Behavioral Health (ABH). The representative answers phones and processes clients as they arrive for their appointments. The client services representative also ensures the timely and organized scheduling of staff and patient appointments, collection of patient fees and documentation into the computer.

This position supports organizational goals by providing quality customer service, participating in performance improvement efforts and demonstrating a commitment to teamwork and cooperation. ABH clinical units require staffing for day, evening and some Saturday shifts. Client services representatives are required to be available to work any or all shifts.

Duties and Responsibilities:
  • Manages staff schedules, including scheduling clients, meetings, vacations, etc.
  • Notifies patients of upcoming appointments and documents missed appointments appropriately.
  • Maintains patient files according to department procedure/policy protocol.
  • Pulls physical charts for daily appointments.
  • Verifies and enters all information into the computer accurately.
  • Performs office support duties, i.e., filing, typing, copying, mail distribution, resulting in efficient operations.
  • Accurately takes telephone messages and repeats key information to verify accuracy.
  • Collects and posts co-pays, deductibles and self-pay deposits.
  • Reconciles payments at the close of business.
  • Verifies and posts staff schedules daily.
  • Processes new clients, client transfers and client closings according to procedures.
  • Consults with the Central Billing Office for billing and insurance questions and concerns.
  • Monitors the waiting room to ensure comfort and convenience of clients and families.
  • Maintains confidentiality as related to patients, staff members and departmental operations.
  • Promptly acknowledges and graciously receives patients, clients and visitors.
  • Completes daily tasks within the assigned shift.
  • Consistently coordinates work to achieve maximum productivity and efficiency within the context of a team.
  • Consistently performs duties with little or no supervision.
  • Demonstrates appropriate initiative to meet the requests of all internal and external customers.
  • Handles all situations efficiently, tactfully and confidentially.
  • Willingly accepts and accurately completes other duties as assigned to assist with business unit functions.
  • Demonstrates flexibility and teamwork by willing accepting any and all scheduled shifts.

Minimal Qualifications:
  • Education: High school diploma or equivalent.
  • Experience: One year in a setting involving direct customer service.
  • Training: Training in relevant computer programs.
  • Valid New Jersey driver's license.

Preferred Qualifications:
  • Experience: Two (2) years in a medical setting with strong knowledge of medical records preferred.

Equipment Use: Computer, copier, facsimile, typewriter and shredder.
